Start with the revenue from your new program. Then see how your selected systems can give your team time back, reduce staffing costs and create room to grow.

01
Revenue first
Build your program revenue.
Model the total program you want to run and the growth above today’s baseline. For a new program, start the baseline at zero.

Projected enrollments / month44
New revenue above baseline / month$110,000
Include customer lifetime value +
$176,000 potential lifetime revenue from one month’s enrolled customers.
Lifetime value unfolds over the customer relationship. It is shown separately and is never added to monthly revenue or first-year ROI.
Package sales are projected sales value, not cash collected that month. Count each enrollment once, even when several systems support it.
02
Time & operator bandwidth
Choose what you want to launch.
Select a system to include its workflow. Adjust task volume, manual time, remaining staff time and the hourly cost of the person doing the work.
Enrollments / month44Linked to your program above.
16.9 hours recovered / month ·$506 in time value
The enrollment example. At 10 enrollments a day, reducing 30 minutes of administration to 2 minutes releases about 4.7 hours a day. A 20-minute starting point releases 3 hours.
Time the administration after the package is accepted. Proposal preparation belongs in Program sales & proposals.
Examples are editable assumptions, not measured performance. Allocate each task to one system. Keep human review and exception handling in the remaining staff time.
03
Capacity or cash savings
Put a value on the time.
Time recovered can support more patients and program growth. Count it as cash savings only when it actually reduces paid hours or avoids a planned hire.
The salary option replaces hourly savings; the two are never added together. Automation can cover defined workflows. Staffing needs depend on volume, coverage and the judgment your team still provides.
04
Your investment
See the return after costs.
Add your delivery margin and the combined costs of the systems you selected. Shared software and implementation costs belong here once.
Enter the costs for your proposed scope, including 0 where a cost does not apply. Your return appears once all four cost fields are complete. Exclude staffing savings already included in your margin.
See the calculation method +
Program sales: daily enrollments × operating days × average package value. Annual figures assume 12 identical months at that volume.
Incremental revenue: (expected − current daily enrollments) × operating days × package value. Lifetime revenue is monthly enrolled customers × lifetime value, shown separately.
Time recovered: monthly tasks × (manual minutes − remaining staff minutes) ÷ 60. Time value = hours × hourly staff cost, summed across selected systems.
Planning estimates, not a forecast or promise. Figures exclude tax, financing, payment timing and ramp-up. A negative value means the scenario costs more or produces less. No input is saved or sent; refresh restores the example.
