The capacity gap

The willingness is there.
The team capacity often isn’t.

Busy physicians understand the value of helping patients make sustainable changes. Extending medication management with a structured lifestyle program also creates work beyond the medical appointment.

Who will introduce the program, answer practical questions, return missed calls and coordinate enrollment?

For a cardiology clinic, sleep clinic, primary care practice or virtual medical team, those tasks compete with an already full day. A promising service can stall before enough patients even learn it exists.

AI changes the capacity equation. A configured outreach system can handle repeatable program conversations and scheduling, giving your people more time for clinical care and personal enrollment discussions.

Imagine a roster of

40,000

patients.

An illustration of scale, not a campaign forecast.

Every call creates a next step.
Who is managing yours?

Reaching a large roster means much more than dialing numbers. It means questions, voicemail, return calls, follow-up and appointments—while the front desk continues its everyday work.

A roster activation system brings those steps into one repeatable process. Calling capacity can expand beyond one staff member’s availability, with outreach paced to your permissions, budget and available appointments.

Build a manageable flow of informed conversations that your clinic can serve well.

The patient journey

Start with permission.
Build toward a human conversation.

A clear purpose for the agent. A clear next step for the patient. A prepared conversation for your enrollment lead.

  1. Invite patients to hear more.

Use a clinic-branded invitation through a permitted channel to ask whether the patient wants information about your optional program and an AI-assisted call. Document the required permission before automated outreach begins.

  2. Open with respect.

After reaching the intended person, the agent identifies itself as an AI assistant, names your clinic and asks whether it is a good time to continue. Patients can decline, request a human or stop further outreach.

    Read an example opening
“Hello, I’m [Agent Name], an AI assistant calling on behalf of [Clinic Name]. You asked to hear more about our optional metabolic health program. Is now a good time for a brief conversation?”

Example wording for a patient who has already requested this contact.

  3. Make the program clear.

The agent explains your approved nutrition approach, professional support, format, time commitment, fees and enrollment steps. It routes clinical questions and questions outside its approved information to your team.

  4. Establish interest and readiness.

Confirm that the patient understands the offer and wants to explore joining. Capture the questions they would like to discuss. Clinical eligibility and the decision to enroll remain with the appropriate people.

  5. Book a prepared conversation.

With scheduling connected and verified, the agent books an available appointment and provides the agreed handoff summary. Your enrollment lead starts with the patient’s expressed interests and questions already clear.

A new service line, built on existing relationships

More support for your patients.
More opportunity for your practice.

A clear invitation helps patients understand the support available and decide whether to explore it.

How many patients would welcome practical support with nutrition, activity and sustainable habits?

How many patients receiving GLP-1 treatment would value structured lifestyle support alongside their clinical care plan?

Could your practice support a new revenue stream by helping interested patients access a well-designed program?

Canadian obesity guidance places pharmacotherapy alongside health behaviour changes. Participation in a paid support program is optional, with suitability assessed by the clinical team. Read the clinical guidance

Prepared for a premium program

Let your enrollment lead begin with understanding.

For a premium program, patients deserve a personal conversation about their goals, questions and decision to participate.

The agent prepares the ground: what the program includes, what it asks of the patient and what it costs. Your lead can spend the appointment exploring fit and addressing the questions that matter.

Clear responsibilities

Your clinic’s program.
Our managed outreach.

Your clinic owns its website, conversion funnel and program database. Metabolic Architects manages the agreed voice services and outreach campaigns. Scope, access, responsibilities and costs are confirmed before work begins.

Clinic-owned assets

Your website, funnel and program database.

We can help build and configure these assets in your clinic’s environment.

  • Your program and clinical oversight
  • Your appointment availability and enrollment team
  • Your database, with campaign outcomes returned to it

MA-managed services

We run the agreed outreach.

We configure and manage voice services and defined campaigns using your clinic’s authorized data.

  • Agreed audience, message and channels
  • Consent rules, opt-outs and attempt limits
  • Defined dates, reporting and cost ceiling

Built around your standards

A clear role for the agent.
Your team sets the standards.

Approved answers, clear permissions and human escalation are part of the operating design. Calls are reviewed against the standards you set.

Know what happens next.

Caller identity, privacy handling, contact timing, opt-outs, escalation and pause controls are defined before launch.

Measure actual outcomes.

See calls attempted, patients reached, interest expressed, appointments booked, attendance and completed enrollments.

Can the agent contact our entire roster?

Only the audience with the required permission and permitted use of its contact information. Being on a patient roster does not by itself authorize an automated sales call. Permission to place the call comes before asking whether it is a good time to talk. Volume is also paced to your appointment and service capacity.

Canadian automated-calling rules

Does the agent give medical advice?

Its role is to explain approved program information and coordinate enrollment. It does not diagnose, change treatment or determine clinical eligibility. Medical questions and situations outside its defined role are handed to the clinical team.

What if we already have an AI receptionist?

We review how your existing receptionist could support the program. The recommendation covers outbound calling, return calls, scheduling and the permission needed to contact patients.

How do we choose the right option?

We discuss your program, audience and team, then recommend the systems and support you need. Your proposal explains the work, responsibilities, initial cost and any ongoing fees before you commit.
